Microsoft Campus Agreement
General Information
Augsburg University of Applied Sciences has joined the Microsoft Enrollment for Education Solution (EES). This agreement is commonly referred to as the Microsoft Campus Agreement and runs for one year at a time.
The agreement allows for the use of certain Microsoft licenses and services on university devices as well as by eligible students and staff. In some cases, a distinction is made between work-related and personal use.
Participating Institutions and Eligible Individuals
The Microsoft Campus Agreement was signed on behalf of Augsburg University of Applied Sciences. In general, all faculties as well as central departments such as administration, the library, and the computer center are participating.
Services
Licensing is user-based and determined by the number of university staff and students. Licensed software can be used on devices owned by the university.
Active students and staff can also use certain Microsoft 365 services on personal devices as part of the Student Advantage Benefit or Teacher Benefit.
Terms of Use for Microsoft Cloud Storage Services
The use of Microsoft's cloud storage services must comply with the Policy on Use, particularly Section 4, as well as the Augsburg University of Applied Sciences' security policy on information classification.
- The use of cloud storage services must comply with the university’s usage policy and security concept for information classification.
- Augsburg University of Applied Sciences prohibits the use of Microsoft cloud storage services for data whose disclosure or loss could result in damage, liability risks, or data protection issues. This includes, in particular, data that must not be accessible to all university members.
- In cases of doubt, files containing confidential or personal information may be classified as “HSA Confidential” and are therefore not suitable for external cloud storage.
4. If files are shared with others, sharing permissions must be limited to what is strictly necessary and reviewed regularly.
5. Data stored in cloud storage services that is still needed must be backed up on one’s own responsibility before leaving the university and, if necessary, transferred to the university’s internal storage services. For technical reasons, assistance with the migration cannot be guaranteed.
6. Augsburg University of Applied Sciences is not liable for lost data, particularly data that was not backed up in a timely manner after a person’s departure from the university. The university does not back up data stored in Microsoft cloud storage services.
Do not use for confidential data!
Microsoft cloud storage services must not be used for data classified as “HSA Confidential” or “Strictly Confidential.”
Examples of unsuitable data
- personal data, such as attendance lists or participant lists
- Travel or payroll reports containing financial, social security, or personnel data
- Research data not intended for public disclosure
- Technical data, such as blueprints of sensitive rooms or network diagrams
- Protected data, such as sick leave reports, draft report cards, term papers, contracts, or memos
- Data from the examination process, such as expert opinions and corrections
- Data resulting from collaboration with third parties, such as from official or contractual obligations
Business Use
We expressly note that licensed products may only be used if you have read and understood the Terms of Use and agree to the terms set forth therein.
The most current Product Terms for the Microsoft Campus Agreement can be found on the Microsoft website. Microsoft’s terms and conditions always take precedence.
The Campus Agreement includes the following products, among others:
- Windows Education Upgrade with Software Assurance
- Windows 11 Education or Enterprise
- Windows 10 Education or Enterprise
- Windows 8.1 Pro or Enterprise
- Microsoft Office Professional Plus or Microsoft 365 Apps
- Microsoft Server CALs (Client Access Licenses)
It remains necessary to procure qualifying operating system licenses. Therefore, each new device should continue to be ordered with a Windows OEM license. According to Microsoft’s legal interpretation, OEM licenses that have already been purchased are tied to the end of the device’s useful life and may not be transferred to other devices.
Licenses under the Microsoft Campus Agreement entitle users to install the latest versions of the Windows operating system, as well as Office Professional Plus or Microsoft 365 Apps. Alternatively, previous versions currently supported by Microsoft may also be used. A platform change is also possible.
Licensed products may be used in any available language. This includes the multilingual use of Windows Education or Enterprise and Office Professional Plus.
Under the Microsoft Campus Agreement, the Microsoft 365 apps are the standard Office suite for business use. Microsoft Office Professional Plus may be installed and used on business devices no more than once per person. Starting with the second device, the Microsoft 365 apps must be installed and used.
Since these are user-assigned licenses, the Microsoft 365 apps may also be used on personal devices. Office for Mac should be downloaded via the Microsoft 365 apps.
User-based Windows Server access CALs are available for every active university member. If you access a Windows Server operating system or services provided on it—either directly or indirectly—the corresponding CALs are required.
Depending on the service, it may be necessary to purchase additional CALs, for example, for MSSQL Server or RDS. Please review the applicable terms of use.
